Stop interview no-shows: A quick guide for busy recruiters

Let’s face it: Interview no-shows are frustrating, costly, and completely preventable. Every time I speak to a group of recruiters or hiring manager I hear about this problem. Here’s a quick guide to getting candidates to actually show up.

Why candidates are no-shows

  • Found another job

  • Lack of investment in the process

  • Poor candidate experience

  • Interview anxiety

  • Simply forgot

Three steps to stop no-shows

1. Make it personal.

  • Skip the robotic emails

  • Share interviewer profiles

  • Add a personal note about why you’re excited to meet them

2. Create clear communication.

  • Send a confirmation email with all details

  • Follow up 48 hours before

  • Send a quick morning-of reminder

  • Include emergency contact info

3. Remove barriers.

  • Provide clear directions and links

Send calendar invites with all info embedded

  • Offer flexible scheduling options

  • Make rescheduling easy if needed

Remember: Candidates who feel like people rather than requisition numbers are more likely to show up – or at least let you know if they can’t.

Quick Win: Start with one change this week. Add a personal note to your interview confirmations and watch your show-up rates improve.
