Candidate engagement: A follow-up formula

Keeping candidates engaged with the process and informed is one of the biggest challenges in hiring. Try these proven communication templates:

  • After the application: “Thanks for applying for [role]. We’re reviewing applications this week and will reach out by [date] if we see a potential match. Here’s what our interview process looks like: [brief outline].”

  • After the interview: “Great meeting you today! We’re wrapping up interviews this week and will make our decision by [date]. Meanwhile, what other questions can I answer?”

  • Status update: “Quick update: We’re still very interested, but [brief explanation of delay]. I’ll have more information by [date]. Are you still interested in this opportunity?”

  • The not-selected message: “Thank you for interviewing with us. While we’ve chosen another candidate, we were impressed by your [specific strength]. Would you be open to future opportunities?”

By keeping in touch with candidates all throughout the process, you give them less of a chance to wonder whether you are interested and fewer reasons to look elsewhere.
